August 2014: Proposal Navigator® Keyword/Keyphrase Utility Searches All Proposal Documents In Secon

In the June 2014 update I talked about Proposal Navigator®'s keyword search utility which operated on its internal database. Since then, I've added several new attributes which expand the keyword/keyphrase capability to a new dimension. Proposal Navigator® can now search your proposal documents, using one or a list of your desired keywords/keyphrases. This extremely powerful automated utility can be used to perform many tasks in seconds which could take hours to complete manually. Among others, it can help assure compliance (e.g. L, M, SOW) is driven into your final product by using the customer's words in appropriate context. It can likewise used to assure that your themes, CAMs, and other 'blue' items are at least mentioned in the text where intended. The utility also supports cross-volume integration because of its multiple document search capability (e.g. did we call it a 'duck' in volume 3 and a 'bird' in volume 4 ? or where did we mention the 'special sauce', if at all ?). Proposal Navigator®'s automated keyword/keyphrase search provides:

  • Keyword/keyphrase found/not found frequency Excel output (e.g. 'duck' found 4 times, 'bird' found 0 times)

  • Keyword/keyphrase found/not found report showing document name, page number, line number, and context sentence used

  • Word document outputs which highlight the found keywords/keyphrases in a copy of your proposal (e.g. pages of text unbroken by keywords/keyphrases may indicate potential problems with the customer finding compliance at all, or be an off-topic discussion which has no section M value)

While we all understand that Proposal Navigator®'s automated keyword/keyphrase search is not a replacement for a good review by human eyes, it does provide clear, concise guidance to writers to help shorten the timeline in preparation for that review. It also provides additional assurance that the customer will find compliance in the proposal while doing a similar keyword/keyphrase search.
